Operations & Campaign Manager (Chief of Staff)

Keep our directors on track and run our ad campaigns day to day. You'd be one of our first hires.

The role

We're looking for someone organised and dependable to keep our directors on track and run our ad campaigns day to day. It's part chief of staff, part campaign manager, and you'd be one of our first hires.

What you'll own

  • Set the agenda for our weekly directors' meeting, take notes, and send everyone their actions the same day or the next morning.
  • Follow up on those actions until they're done, and tell us early when something is going to be late.
  • Keep one list of what's going on across the company (partnerships, rollouts, funding, hiring), who owns each thing and when it's due.
  • Track our contracts: which version is current, who has signed, and the dates we can't miss, like renewals, notice periods and reports we owe partners.
  • Get us ready for meetings with partners, funders and our board: short briefing notes, the right documents, and notes afterwards.
  • Handle funder and investor paperwork, including document requests and a short monthly update.
  • Work with our accountant and lawyer to stay on top of company admin: CIPC and SARS deadlines, POPIA records, insurance and supplier contracts.
  • Arrange interviews, offer letters and onboarding when we hire.
  • Manage the directors' calendars and travel, and help sort their inboxes, so they can spend more time selling and building.
  • Set up each campaign in UbuntuAds: targeting, scheduling, pacing and how often people see it.
  • Choose where and when ads run (times of day, locations, routes or venues), including rules like showing a different ad when it rains.
  • Put together the monthly report for each advertiser in UbuntuInsights: how many people saw the ad, how many engaged, and where.
  • Check creative before it goes live and get any sign-off a venue or partner needs, so what runs is what we sold.
  • Watch campaigns while they run and fix anything that's falling behind.
  • Help the sales team with what's available before a sale, and proof of what ran after it.

What you bring

  • 2 to 4 years in operations, project coordination, ad or campaign operations, or as an executive assistant somewhere that moves fast.
  • You're very organised and you finish what you start. You're not shy about chasing people, including senior ones.
  • You write clearly. Your notes and reports can go out without us rewriting them.
  • You're comfortable with spreadsheets and dashboards, and happy to learn a new ad tool.
  • You can keep confidential information to yourself.
  • You'd rather set up a way of doing things than wait to be handed one.

Bonus points

  • Agency, media company or startup experience.
  • Google Ad Manager or a similar ad server.
  • You've supported founders or senior managers before.
  • Notion, Asana or Monday, and a bit of SQL.
